Dealer Lot Prep and Reconditioning: What Each Detail Should Include

A long row of new SUVs parked in a dealership lot

For a dealership, detailing is not a nice extra. It decides how a car photographs, how it looks to a buyer walking the lot, and how it feels on delivery day. It also costs time, and every day a car spends waiting for a detail is a day it is not listed.

Dealer detailing usually breaks into three different jobs. Treating them as one is where most programs go wrong.

1. Reconditioning: getting a trade-in ready to list

This is the big one. A trade-in or auction car arrives with someone else's life still in it: stains, smells, pet hair, scratches, and faded trim. Reconditioning turns it into inventory. A full recon detail usually includes:

  • Full interior shampoo and extraction, including seats, carpet, and mats.
  • Odor treatment where needed, at the source rather than with a fragrance.
  • Engine bay cleaned and dressed, since buyers and inspectors open the hood.
  • Exterior decontamination and a machine polish to remove light swirls and bring back gloss.
  • Trim restored, headlights restored if they are hazy, and wheels cleaned properly.
  • Door jambs, the trunk, and the spare tire well cleaned.

The goal is a car that looks right in listing photos, under showroom lights, and to a buyer who opens every door. Each of those catches different things.

2. Lot maintenance: keeping inventory presentable

Once a car is on the lot, it gets dirty again. Dust, pollen, bird droppings, and sprinkler spots land on cars that sit outside, and in a Valley summer the sun bakes them in. Lot maintenance is a quick, regular wash and wipe-down on a rotation, so every unit looks ready whenever a buyer shows up.

The rotation matters more than the depth. A light wash every week or two keeps contamination from setting into the paint, which would otherwise turn a quick lot wash into a polishing job.

3. Delivery detail: the last impression

A sold unit gets one more pass before the customer picks it up: a full wash, a spray sealant, glass inside and out, the interior wiped and vacuumed, and a final inspection. This is the car they will photograph in the driveway and show their friends. It is also where a small miss, like a smudge on the screen or dust in the cupholders, gets noticed.

The recon detail decides how the car photographs. Everything after that is keeping it looking that way until it sells.

Why on-site helps

Sending cars out for detailing means a porter driving them across town and back, and a car that is off the lot for a day or more. An on-site program removes both. The detailing happens in your lot, usually early in the morning or after hours so it does not crowd customers, and the car never leaves.

There is a compliance side too. The Sacramento Stormwater Quality Partnership's guidance for commercial vehicle washing names auto dealers specifically: wash water cannot go into the storm drain. A dealership washing cars in the back lot with a hose is the kind of thing stormwater inspections look for. A vendor with a self-contained setup that captures its water takes that exposure off your property.

What a good program looks like

  • A defined scope for each of the three jobs, so everyone knows what recon includes and what a lot wash does not.
  • A turnaround time for recon units, agreed up front.
  • A checklist or photos for each vehicle, tied to the stock number.
  • One monthly invoice, broken out by unit.
  • Flags for anything found during the detail that needs a body shop or mechanic, so it does not surprise anyone later.

If you run a lot in the Sacramento area and want to see what an on-site program would look like, tell us how many units you carry and how many trade-ins you take in a typical month. We will scope it per unit, around your hours.
